Trainer.crm is an integrated and fully customisable course administration software solution to help manage and run a training or conference business.
It builds upon the Contacts.crm modules to help you keep a track of your potential clients and the marketing activity you do with those clients (sales calls, correspondence, direct mail).
Its Course Co-ordinator module helps with all the administration tasks associated with running successful training courses or conferences. Course bookings, tutor management, venue management, resource scheduling are all handled within one integrated system.
An optional Website module can power a dynamic website showing future course dates with online booking.
The system is fully networkable so all members of your team have immediate access to sales leads, current booking levels, marketing activities and much more.

Course Co-ordinator Module
This keeps track of your courses, course dates, bookings, venues and tutors/speakers.
Course administration tasks can be completed in a fraction of the time it takes to produce them manually.
The system’s principle of ‘enter once, use many times’ means a delegate’s name is only entered once but can be used to quickly produce letters, pre-course questionnaires, personalised joining instructions, delegate lists, name badges, evaluation forms, follow-up letters and much more.
Personalised booking documentation including a sales invoice, joining instructions and delegate questionnaire can be produced in less than 30 seconds.
A To Do diary reminds course administrators what tasks need doing each day to prepare for each course.
Correspondence Module
Letter, faxes and emails can be sent to anyone in the address book directly from the system. All correspondence sent to a person can be listed with the click of a button.
Activity Module
This module enables you to record details of all conversations you have with each contact and schedule follow-up calls for the sales team.
Over time you build up a complete history of dealings with each contact on the system. You see details of any conversation that anyone from your organisation has had with them.
Your sales team can schedule their calls and know that they will not forget to follow up any leads as the computer will remind them when they are due to make that call. They can, at any time, see a list of missed and future calls.
Direct Mail Module
The direct mail module lets you select groups of people and/or companies and send them a piece of direct mail. The system merges the address details with the text of the mailing and prints, faxes or emails the mailing, as required.
A complete history of mailings is kept so you can see who received each mailing and how much each mailing cost.
Diary Module
This module gives you a resource scheduler and a workgroup diary where you can see your own and your colleagues’ diary as well as important company dates and the course calendar.
Tutor, venue and equipmet bookings can be seen at a glance. You can set up personal to-do lists just like in any personal information manager.
When linked with the Activity module you can also see what actions you are scheduled to do on each day.
Projects Module
This module enables you to set up projects that you are quoting for, eg. bespoke training programs.
You can create and store quotes so that you have a record of what you’ve sent the potential client.
Invoicing Module
This module enables you to create and print sales invoices. Links can be created to your accounting package so that invoices are also created in your accounts system. Send reminder letters and statements to those who have not paid.
Purchasing Module
This module enables you to create purchase orders and enter purchases. Links can be created to your accounting package so that purchases are also created in your accounts system.
Cash Book Module
This module enables you to track payments received against your invoices and/or payments made against your purchases. Links can be created to your accounting package so that payments are also created in your accounts system.
Keep track of who has paid their invoices and who hasn’t.
Website Module
This module turns your website into a dynamic, constantly up-to-date site.
Up to date information on your website is crucial. Course listing that show courses that have been and gone waste your customers’ time and could lose you business. Your database already holds details of your courses and course dates. By using this to power your website it will automatically display future course dates only. You only need to update the system as you add new dates.
This module also makes it easier to update your website. You don’t need to know any html. You simply update the text like you would in a word processor. The system displays that text on your website.
An online booking system notifies you as soon as someone completes the booking form. It also automatically thanks the delegate for their booking and notifies them that it is being processed.
